Exhibitor booth preparation

1. Submit Your Exhibitor Information

Sign in with the credentials issued by the organizer. Complete your profile early so your company is represented accurately on the website and in promotional materials.

Display name

Use a short, recognizable company name; avoid an unnecessarily long legal suffix.

Company logo

High-resolution PNG or JPG with a clean background; square or landscape artwork is preferred.

Company introduction

A concise 100-120 word summary of your capabilities, products and target buyers.

Product images

Provide at least 3 clear images with a consistent ratio; avoid screenshots and low-resolution files.

Product sectors

Choose up to 3 primary categories so buyers can find you quickly.

Email, mobile, website, onsite representative and product catalogue PDF.

Pre-submission check

Verify the spelling of your company name, country and booth number, and test every link before saving.

2. Booth Preparation & Service Requirements

Confirm every item required beyond your contracted booth package. Additional equipment and services are supplied only after confirmation by the organizer or official contractor.

3. Shipping, Construction & Safety

Mark every package with the show name, company name and booth number. Do not ship directly to the venue before receiving the official delivery schedule. Contractors must follow VEC fire, electrical, height and working-hour regulations.

International Freight & Customs

Engage a freight forwarder at least 6-8 weeks in advance. Confirm commercial invoices, packing lists, HS codes, temporary import arrangements, restricted goods and customs clearance deadlines before dispatch.

Important: Do not dispatch freight before receiving official shipping instructions.

4. Visa, Hotels & Local Travel

Check Vietnam entry requirements early and request organizer documentation where applicable. Reserve accommodation in advance and confirm rates, breakfast, cancellation terms and transport to VEC directly with the hotel.

Booking note: Exhibitors may book through any familiar hotel platform or directly with the hotel. The recommended properties are listed mainly because they are relatively close to VEC and convenient for travel; they are not mandatory or exclusive. Rates, availability and cancellation terms must be confirmed when booking.

5. Preparation Timeline

Immediately after booth confirmation

Check your contract, booth number and primary coordinator.

As early as possible

Complete your profile, logo, 3 product images and product sectors.

6-8 weeks before the show

Confirm visa, freight, customs, hotel, staffing and special equipment.

4

3-4 weeks before the show

Submit badges, fascia, power, furniture and delivery details.

Show week

Bring confirmations, staff documents and a complete inventory list.

Official deadlines and service prices will be confirmed separately by the organizer.

6. During the Show

Trade show networking
  • Keep the booth staffed throughout opening hours.
  • Keep aisles and fire equipment clear.
  • Secure valuables and portable equipment.
  • Do not dismantle before official closing time.
  • Contact the organizer before requesting overtime, additional power or freight handling.
