1. Start with Your Company Profile

Submit your information early so buyers can find and understand your company before the show. Use a short, recognizable display name and provide:

  • A high-resolution company logo with a clean background.
  • A concise 100–120 word introduction describing capabilities, products and target buyers.
  • At least three clear product images with a consistent ratio.
  • Up to three primary product sectors, plus accurate contact details and a product catalogue.

Recommended content standard: company name up to 52 characters or two lines; three JPG/PNG product images at approximately 1600 × 1200 px; logo at least 800 px wide.

2. Confirm Booth Services Together

Review everything required beyond the contracted booth package in one checklist: fascia name, electricity and sockets, furniture and showcases, screens and internet, interpreters or temporary staff, freight handling, forklift or storage, buyer-meeting support and any special construction.

Additional equipment and services should only be ordered after confirmation by the organizer or the official contractor. Exhibitors can submit requirements through the Exhibitor Service Request.

3. Plan Freight and Customs Before Dispatch

For international exhibits, engage an experienced freight forwarder around six to eight weeks before the show. Prepare commercial or pro-forma invoices, packing lists, HS codes and any temporary-import documentation that applies to your shipment.

Important: label all cases clearly and do not dispatch goods before receiving the official delivery instructions, deadlines and onsite contact details.

4. Arrange Visa, Hotel and Local Travel Early

Check Vietnam entry requirements early and request organizer documentation where applicable. Exhibitors may book accommodation through any platform they already use. TPSV2026 hotel recommendations are provided mainly because the listed properties are convenient for the venue; always confirm rates, availability, breakfast and cancellation terms directly.

5. Follow a Simple Preparation Timeline

  • Immediately after booth confirmation: check the contract, booth number and primary coordinator.
  • As early as possible: complete the company profile, logo, product images and product sectors.
  • 6–8 weeks before the show: confirm visa planning, freight, customs, hotel, staffing and special equipment.
  • 3–4 weeks before the show: log in to the Exhibitor Portal, open “Badges & Invited Buyers”, download the badge template and upload the completed exhibitor list. Also confirm fascia name, power, furniture and delivery details.
  • Show week: bring confirmations, staff documents and a complete inventory list.

Official deadlines and service prices will be confirmed separately by the organizer.

6. Apply for Exhibitor Badges

Exhibitor badges are linked to confirmed companies and booth records. Use the credentials issued by the organizer to access the Exhibitor Portal, open “Badges & Invited Buyers”, download the Excel template and upload the completed staff list. Special instructions can be added in the badge notes field.

7. Keep the Booth Safe and Visitor-Ready

Keep the booth staffed during opening hours, maintain clear aisles and access to fire equipment, secure valuables and follow the organizer’s dismantling schedule. Contact the organizer before arranging overtime work, extra power or last-minute freight handling.
